Many teams receive a large number of utility bill invoices every month (from bill pay providers and other stakeholders) and are responsible for processing them to keep performance data up-to-date. These invoices typically come in many formats (e.g. PDFs, images) making it time-consuming to extract meter consumption and cost data and transfer it into platforms like ESPM. Abisko’s utility bill processing dashboard streamlines the most time-intensive and error-prone steps to enable users to efficiently process many utility bills at once and automatically sync data with ESPM for meters across their portfolio.

Centralized & Bulk Data Entry

1

Ensure all meter-level account details are current and accurate

Follow these instructions and confirm that all account numbers are accurately saved for meters that will be included in bulk utility bill processing.
For ESPM meters, click Edit Meter and check the ESPM Push box to enable 2-way syncing and AI-driven data extraction.
2

Navigate to the portfolio-level Data Entry dashboard

  • Click on the username at the top-right of the application.
  • Click on Data Entry from the expanded menu.
3

Discover meters

Start by using the menu at the top to choose the meter discovery approach.

Approach: Multiple Meters

Allows users to find multiple meters across their portfolio at once.
  • Drag & Drop (or click Match from Bill) to upload up to 20 utility bills at once directly into the table. This will trigger the following process:
    • The account number is automatically extracted from each uploaded bill.
    • Each account number is compared to account details for every meter across the portfolio to which the user has access.
    • All meters with matching account numbers are listed in the data entry table.
  • ESPM Meters by External ID: Users can add an external ID to any meters across their portfolio. After selecting an external ID type (e.g. ‘Arcadia ID’) in the data entry menu, all meters with that ID type will automatically show up in the Meter dropdown.
    • Click Add All to add all meters in the Meter dropdown to the table.
    • Search for individual meters by external ID type in the Meter dropdown and click on the meter to add to the table below.

Approach: Individual Meters

Allows users to find and update individual meters from a centralized location.
  • Meters by Name: Users can select their portfolio and then search for specific meters by name. All meters in the portfolio are discoverable.
  • Meters by Account Number: Users can select their portfolio and search for specific meters by their account number, which is tracked in account details. All meters with saved account numbers are discoverable.
4

Add new entries across meters

All discovered meters will automatically show up in the data entry table, where users can view information like meter name, property, account, most recent entry, etc.

Add new entries to individual meters via two approaches.

Direct & Manual

  • Add start date, end date, consumption and cost data directly to the row in the table.

Bill Panel & Automated

5

Save & Sync

After adding new entries for all meters and rows, users can click the import button on the right-hand side of the table (or in the View Bill panel) to automatically save the entry, sync it with ESPM and upload the utility bill to the specific meter entry.
Utility bills will be automatically uploaded and saved to their specific meter entries in Abisko, to support data verification and auditing.
